Operation Standards for the Use of Classrooms Administered by Division of Academic Affairs, Organization for Educational Support for Preventing the Spread of Novel Coronavirus Infections

The following prescribes the operation standards for the use of classrooms administered by Department of Registrar, Imadegawa Campus, and Department of Registrar, Kyotanabe Campus, Division of Academic Affairs, based on the “Doshisha University Guidelines for Preventing Spread of Infection of Novel Coronavirus (COVID-19)” (hereinafter, the “Guidelines”) Users and the person responsible for facility use must endeavor to prevent the spread of novel coronavirus infections in accordance with these operation standards. During class, the instructor for the subject (including those who assist the instructor) shall serve as the person responsible for facility use.

1. Operation standards for users

  1. Users shall wear masks.
  2. Users shall check their temperature on awakening to confirm that they have a normal temperature, and they cannot use the classrooms if they fall under any of the cases in which students are suspended from coming to school, which are stated in the flowchart for determining if current students are allowed to come to school, which is available on the University's website.
  3. Users shall bring alcohol disinfecting wet wipes, wet towels or wiping cloth whenever possible.
  4. Users shall strive to wash their hands before and after entering and leaving the room, and make sure to disinfect their hands with the disinfectant placed at the entrance of the facility or other places.
  5. Users shall promptly enter and leave the room, avoiding crowding and without staying at the same place together with other people.
  6. When taking a seat, users shall keep a distance of 1 m or more in front, back, left and right, such as by avoiding taking a seat in front of another person.
  7. Users shall open windows or doors at all times or at regular time intervals according to the instructions of the person responsible for facility use (about 5 to 10 minutes of ventilation about 3 or 4 times in 90 minutes. Diagonally positioned windows and doors should be opened.)At the same time, users shall endeavor to ventilate the room by turning on the ventilation equipment.
  8. In principle, drinking and eating shall not be allowed, but they are allowed only if hydration is unavoidably necessary.
  9. Users shall clean the places they have used (including tables, chairs, microphones, lighting switches, door knobs) whenever possible, using alcohol disinfecting wet wipes, wet towels or wiping cloth.
  10. After cleaning, users shall put waste alcohol disinfecting wet wipes, wet towels or wiping cloth in a garbage bag, tighten it, deflate the air, segregate the garbage, and dispose of it into the school's garbage box or take it home.
  11. If users are affected with the novel coronavirus infections, they shall promptly report to the office they belong to or the person responsible for facility use.
  12. Users shall follow the measures to prevent the spread of the infections that are separately implemented according to the equipment or other factors of each classroom.

2. Operation standards for the person responsible for facility use

  1. The person responsible for facility use shall appropriately encourage users to keep a distance of 1 m or more in front, back, left and right.

  4.   6. If users are affected with the infections, the person responsible for facility use shall promptly report the occurrence of the infections to relevant departments within the University, a public health center or any other related parties.
  7. In classes (including recording of online distribution classes, face-to-face activities to supplement experiment/practical training/skills practice subjects, follow-up studies, and makeup classes), the person responsible for facility use shall create records of persons other than those who have registered for the subject (such as guest speakers), and retain them throughout the current semester so that they can be submitted promptly at the request of relevant departments within the University, a public health center or any other related parties, in order to minimize the spread of the infections among users.
  8. Outside classes, the person responsible for facility use shall retain a list of users' names and contact information or its substitutes until the end of the autumn semester so that they can be submitted promptly at the request of relevant departments within the University, a public health center or any other related parties, in order to minimize the spread of the infections among users.

3. Others

  1. These operation standards shall be updated as appropriate according to the revision of the Guidelines, etc. When using the classroom, the operation standards used at the time of using the room shall be applied.
  2. The records specified in Section 2. 7) and the list of contact information, etc. specified in Section 2. 8) may be submitted to a public health center or any other related parties to prevent the spread of the infections.
  3. These operation standards shall be administered by Division of Academic Affairs, Organization for Educational Support.
  4. These operation standards shall be applied from September 21, 2020.
